Document management and how it can drive efficiency

Contextual data

In GLX CARGO, documents are stored against entities already loaded into the system, and can be captured either by direct upload or by storing as a URL.

Imagine you are a cargo operator looking for your load instructions and the surveyor’s report for your FOB cargo. Rather than having to navigate your organisation’s file structure to find these documents individually, in GLX CARGO you simply go to your FOB leg where you can access both documents in one location. You can now open the surveyors report in one tab while looking at all the pertinent information on that leg in another tab.

Easy transfer of knowledge

One of the most time-consuming document management exercises is the need to communicate across teams to access relevant information. Cargo and freight teams understandably have different roles with overlaps on the management of a cargo. To access the most up-to-date copy of a document so they can fulfil their roles, operators must typically make Teams calls, and send multiple daily emails across departments.

By using GLX CARGO, the time spent communicating between teams is slashed – a freight operator can upload the most recent terminal manual against the relevant port in the system, for example, and their cargo counterpart knows they can access this document without having to send numerous messages or rifle through files.

Speed of decision making

Having access to context and reducing the back-and-forth with other teams results in higher velocity decision making.

By using GLX CARGO for document storage and management, operators now have more time to focus on the most important aspects of their job and less time locating and making sense of documentation.
